Stuart Olson is seeking experienced Turnaround / Project Administrators to support our upcoming Fall 2026 turnarounds in Alberta and New Brunswick. This is a site-based role providing high-level administrative and project controls support to turnaround leadership teams. The ideal candidate brings deep experience in major industrial turnarounds and thrives in high-demand, fast‑paced environments. Local candidates are preferred for New Brunswick, however LOA may be provided upon approval. Flights are provided from Edmonton or Calgary for the Fort McMurray Turnaround.

Key Responsibilities
As a Senior Turnaround / Project Administrator, you will provide administrative and project coordination support, including:
Turnaround & Project Controls
- Understand the purpose of accurate time entry, various work schedules, overtime rules, and union agreement requirements.
- Prepare and validate electronic timesheets based on field data; reconcile payroll hours and address discrepancies.
- Daily reconciliation of swipe data and sign-in/out records to ensure the accuracy of workers’ hours.
- Understanding billing and pay rates and performing reconciliations to ensure costs and billings are calculated accurately.
- Maintain and update crew lists, manpower loading charts, and daily force reports.
- Creation of LEMs, submission to the client, uploading time entry data into client systems, and preparation of invoices.
Systems & Data Management
- Utilize client and contractor systems including SAP, Maximo, Track, Cortex, Fieldglass, and CRM‑based platforms.
- Support LEM entry and invoice processing, ensuring accuracy and timely submission.
- Maintain organized and compliant employee files and ensure accurate onboarding/offboarding documentation.
Team & Site Support
- Provide daily administrative support to the Project Manager, Construction Manager, and Site Supervisors.
- Resolve payroll inquiries, process terminations, and update records according to site requirements.
- Prepare reports, meeting minutes, and documentation related to turnaround execution.
- Support general site administration and contribute to continuous improvement of TA administrative processes.
Qualifications:
- High school diploma required; post‑secondary education in administration or business is an asset.

4+ years of administrative experience in industrial or construction environments, including turnaround or shutdown support.

Advanced MS Word and Excel skills (tracking, reporting, reconciliation).
- Experience with SAP and/or Maximo, and strong working knowledge of Track.
- CSTS 2020 and H2S Alive (Energy Safety Canada).
- Strong organizational and time‑management abilities, with the capacity to handle shifting priorities and high‑pressure deadlines.
- Excellent communication, relationship‑building, and problem‑solving skills.
- Demonstrated professionalism, confidentiality, accuracy, and attention to detail.
- Self‑motivated, collaborative, and able to work independently when required.
- Ability to pass a pre‑access Drug and Alcohol test.
